You can add, change, or remove any of a customer's personal details.
Change their personal details
- Open the customer’s profile.
- Go to the Profile tab.
- Update any of the details listed.
|Enter the customer's email address. All communication will be sent to this email address.|
Enter the customer's preferred title.
|First name||Enter the customer's first and middle name, if applicable.|
|Last name||Enter the customer's last name.|
|Second last name||Enter the customer's second last name, if applicable.|
|Nationality||Select the customer's country of origin.|
|Sex||Enter the customer's sex as it is listed in their passport (for legal reporting purposes).|
|Telephone||Enter the customer's telephone number, including the country code for international numbers.|
|Birth date||Enter the customer's date of birth.|
|Birth place||Enter the place where the customer was born.|
|Car registration number||Enter the customer's car registration number, if applicable.|
|Tax identifier||This information may not be necessary. Please consult your accounting team for confirmation.|
|Company||If the customer is associated with a company, select the company from the drop-down list.|
|Occupation||This information may not be necessary. Please check your local laws for more information.|
Add internal codes, notes, and classifications
To assign a customer classification, mark whether the customer accepts invoices or marketing updates, assign internal codes, and add notes to a profile:
- Open the customer’s profile.
- Go to the Internals tab.
- Update any relevant fields.
Choose all classifications that apply to the customer. Classifications are listed next to the customer's name throughout the system, for easy identification. Note: If you don't want certain customer classifications to be used at your property, you can contact support to have them disabled.
|Preferred space features||
Select the features that the customer prefers their space to have. Commander will take these preferences into account when deciding which space to assign the customer's reservation to—but only if you've set the reservation assignment strategy to
|Accounting code||Enter the accounting code you want associated with this profile, if applicable.|
|Loyalty code||If you have an internal loyalty program, you can enter a unique code.|
|Billing code||Enter a unique code that you would like listed on invoices, so the customer can easily identify invoices from your property.|
|Guest profile notes||Add any internal notes on this customer. Customer profile notes are listed in the Reservations Report, Reservation Overview, and Guests in House Report.|
Delete a customer
A customer profile can't be completely deleted from Commander, but you can delete all of the customer's personal details (except for their last name); we keep the customer's last name to ensure that billing and reservation data remain intact.
Note: This action is permanent and can't be undone.
- Open the customer's profile.
- Go to Profile tab.
- Click the Clear icon to clear all personal data except for the customer's last name.
Tip: If you want customer profiles to be automatically cleared after a set amount of time of inactivity (for compliance with your local data protection regulations), contact support!
